Deadline

You are strongly advised to book your hotel room early as Brussels will be very crowded at that time period.

Each reservation paid by bank transfer must have reached the bank account within 15 days after issuance of the invoice. After, Travex has the right to release or to re-allocate the room.

From February 15th, only reservations by credit card will be accepted (no more bank transfers).

Payment by cheque is not accepted.

Room booking

The hotel reservations are made on a first-come, first served basis. Please fill in the hotel booking form and indicate your hotel preference(s) from the list.
The rates of each hotel are for standard rooms and include breakfast, hotel taxes and service.

As mentioned on the booking request and the invoice, a handling fee of 3% of the total room amount will be applied to every reservation and is not refundable.

Priority will be given to accommodation requests of minimum 3 nights

Invoice / Confirmation / Hotel voucher

Upon receipt of your hotel reservation form, the confirmation of your room booking (invoice) will be emailed.

Please note that it is compulsory that you present your hotel voucher at time of check-in. This voucher will be sent by E-mail when the full payment is confirmed. Kindly check carefully and make sure that all information on this voucher is correct.

For payment by Visa or Euro-Master card you will receive an email from VIVA WALLET with a secured payment’s link. The link has a minimum validity of 48h.

Modification

All request for changes must be made in writing to TRAVEX CONGRES. Any modification will be subject to a written confirmation by TRAVEX CONGRES.

Late arrival & no show

Your room confirmed by Travex is guaranteed even in case of late arrival (after 18.00).

If you do not show up at the hotel on the planned day, your room will be kept for the whole period booked except if you clearly inform us about your cancellation. In that case, Travex Congres will try to resell the room in order to refund you proportionally.

Cancellation of the entire stay and stay shortening (individuals)

Our rates and conditions are based on group contracts. So the cancellation policy varies from an hotel to another. Do not hesitate to contact us for more info. By default : no cancellation is allowed unless the room is subsequently reallocated by Travex.
